Tearfund is seeking to enter into an agreement with a Supplier for a Digital Asset Management
(DAM) solution. We are looking for a user-friendly interface that can be used by employees across the
entire organisation as a source for all types of content, and by approved third parties for access to
content we have the necessary permissions to share with them. As the system will be containing large
amounts of personal data, it is key that it is highly secure with low security risk in terms of data
protection. To make sure that we future-proof the way we work, we are looking for a platform that is
using up-to-date technologies. We are looking for a hands-on partner that is ready to implement their platform at Tearfund.

The DAM solution needs to:
● Provide Tearfund staff and approved third parties with a quick, easy and effective way to
contribute and access the content (photos, videos, stories) we gather and use.
● Use specific metadata fields to define access rights to assets, by user groups.
● Enable admin users to quickly and easily review and amend metadata fields for individual
assets or in bulk.
● Provide an easy-to-use system for requesting restricted assets (where the end-use has to be
approved on a case-by-case basis). Admin users need to be able to quickly and easily review
and approve/decline the requests.
● Be compliant with Tearfund’s safety and security standards, as set out in Schedule 1, and be
able to integrate with Google Apps, specifically for video files and Google Docs.
● Give admin users the ability to access other user accounts, to provide specific one-to-one
support for users, or to access their work in the event of their unplanned absence.

Tearfund use the procure-2-pay software Coupa to Manage Tenders.
